PRODUCT DISPLAY/MONETARY SPONSORSHIP POLICY

PURPOSE:

To provide policy guidelines for vendors who wish to display products/services and/or sponsor portions of educational conferences. 

CRITERIA:

The following guidelines are developed to allow interested vendors to display or provide financial sponsorship of portions of educational conferences.

  • Products/services offered by the vendor shall be directly related to the industry of credentialing or medical  staff.
  • Displays shall be available for members at times designated (i.e., prior to meeting, at breaks, during lunch and after daily session(s) end). Displays will not be open during educational sessions
  • Displays should provide  specific information about the vendor's product/services
  • Inexpensive promotional  items may be made available to members (i.e., note pads, pens, etc.) as part of the display
  • If desired, the vendor may contribute an item that can be used as a door prize. Value of this item should be limited to $100
  • Vendors will be charged a fee of $300 to help defray costs of providing space to display (cost of room, tables, etc.)
  • Vendors may elect to sponsor the cost of meals during a portion of the conference at the following sponsor levels, which includes vendor display fees:
    • Vendor/Handouts Only $100
    • Vendor $300
    • Bronze $500 
    • Silver $1000
    • Gold $2000-Additional Fees will not apply
  • Vendors who are unable to attend may, for a nominal fee of $100, provide information about their business as well as handouts, etc. That will be made available during the conference to attendees
  • Vendor will be responsible for setup, maintenance, and disassembly of display
  • Vendors who are unable to attend may, for a nominal fee of $100, provide information about their business as well as handouts, etc. 
  • Recognition will be given to vendors on meeting materials. Vendor logos may be provided for agenda and other materials
  • Vendors are responsible for their own room expenses, or any other expenses incurred by the vendor
  • Educational Organization will not be responsible for security of display
  • Vendors must abide by all applicable facility policies
